The Springfield Sun has an immediate opening for a full-time Office/Circulation Coordinator. This person manages the front office and administers the circulation processes.  It is a unique opportunity for a qualified applicant with proficient computer skills, excellent administrative skills and an appetite for learning. This is an ideal position for someone interested in community involvement through the local newspaper. The Sun is a 2,300 circulation weekly newspaper in Washington County in central Kentucky, 45 minutes from Lexington and Louisville. This is a non-exempt position, generally Monday Friday 8:00 a.m. to 4:00 p.m.  Occasional weekend and evening work may be required.   • High school diploma or equivalent education required
  • Excellent math and accounting skills
  • Must be computer proficient (especially PC compatible)  and have experience with Microsoft Word and Excel
  • Excellent verbal and written communication skills
  • Must be an accurate record keeper who is organized and can work a flexible weekly schedule
  • Must be able to deal courteously with customers, co-workers and postal officials; be customer service oriented with callers and walk-ins, providing excellent customer service
  • Must be able to multi-task and effectively manage stress in a deadline oriented environment
  • Ability to learn and apply new skills


  • Provide general oversight for the front office: scheduling of small office repairs and equipment upkeep; purchase and/or ordering of adequate office supplies for each department; and purchase/order supplies for general office needs.
  • Maintain and effectively utilize the circulation system to ensure accurate postal and other required company circulation reports; prepare annual statement of ownership; measure newspaper weekly and prepare postal reports (computer mailing lists, record keeping, circulation mail and online records).
  • Plan and promote newspaper subscription sales through ad campaigns, stop-saver programs, sample copying, inserts in single sales, bulk and newsstand sales, web site, Newspaper in Education program, including paid sponsorships and teacher requests.
  • Meet or exceed monthly sales revenue goals, particularly in-county sales and develop and maintain outstanding customer service and delivery processes to increase subscriber retention.
  • Provide an updated list of pre-printed inserts to printing plant and work with sales reps to provide the proper identification; prepare plant print order weekly and send to printing plant.
  • Prepare rack tickets for weekly deliveries to vendors and newsstands; prepare/print weekly single copy bundle tops and plant packet for weekly edition.
  • Work directly with walk-in and phone customers, answer telephone calls and email, providing excellent customer service.
