Part-Time Front Office Customer Service Rep

The Brunswick Beacon, a weekly newspaper located in Brunswick County, NC, has an opening for a part-time front office customer service representative. This person will be responsible for greeting customers and handling the telephone system in a fast paced environment. The position basically focuses on circulation and accounts receivable duties plus general office tasks. The newspaper can also be found at  


  • High school diploma or equivalent
  • Professional telephone manner
  • Strong organizational skills and attention to detail required
  • Must be computer proficient using Word and Excel
  • Ability to type with average speed and few errors
  • Ability to operate office machines, including fax machine, computer, scanner, copier & telephone
  • Above average skills in language, math, reasoning ability and customer service
  • Ability to communicate effectively orally and in writing with customers and co-workers
  • Demonstration of high energy level and self-motivation
  • Desire to advance and willingness to accept expanding, sometimes changing, responsibilities, duties and accountability
  • Ability to work in a fast-paced environment and live with a deadline driven business
  • Must have reliable transportation and a valid driver's license

Essential Functions:

General Office Tasks:  Open the front office for business. Heavy telephone volume focusing on courteous customer service.  Greeting walk-in customers and directing them to the correct department (news or advertisement). Write cash receipts, process charge cards, type daily deposit checks and perform credit checks on future customers. Reconcile daily deposits. Monitor the fax machine which includes distributing faxes to the various departments or boxes. Write classified advertisements when necessary. Daily mail trips which includes distributing the mail. Daily bank trips for deposits at the end of the day. Filling the outside newspaper racks, especially on Wednesdays and Thursdays. Secure the front office and the entire building at the end of the day.  

Circulation Duties:  Learn Interlink (circulation system). Post payments, frequent address changes and enter new customers. Process payments reports.  Weekly mark the newspaper checking advertisements for the Postal Report. Weekly count rack sale money. Document newspaper delivery complaints. Research newspaper payment problems. Maintain newspaper archives. Remove all newspapers in the outside racks at the end of the day on Tuesdays. Weekly reconciliation of the quarters collected from all the racks. 

Accounts Receivable:  Learn SNAP (accounting system). Post daily cash receipts. Enter insertion orders for display advertisement billing. Weekly review newspaper, locating and marking advertisements for each billable customer. Post ads to customers' accounts for billing. Weekly, reconciling and verifying the advertising revenue for accuracy of customers' advertisement in inches and dollar amounts.
